How do I cap the number of climbers in a taster session?

You set the number of places for each slot, based on what your gym can hold and how many coaches are on shift. Once the session is full it closes itself to bookings, online and at the desk alike. A taster session stays at four or six climbers, as planned, with no surprises on the day.

Can I offer climbing shoe and harness hire at the booking stage?

Yes, through the options catalogue: shoes, harness, chalk pack or any other add-on you sell. An option can be reused across products, with a title shown to the climber and a separate label on the ticket, which helps the desk get the kit ready before a group arrives.

How do I handle children’s birthdays at my climbing gym?

Create the birthday as a product in its own right, with its capacity, length, minimum age and extras, such as the food or a coach to run the session. The parent books and pays online, the slot is held, and the team finds the booking in the operations schedule without retyping anything.

Can I organise school slots and group bookings on a quote?

Yes. You issue a quote with the class headcount, the agreed rate and any supervision options. The quote is linked automatically to the order, the invoice and the schedule, and the places are held as soon as the school confirms. The same route works for a works council or a holiday club.

How does the floor plan help me organise my spaces?

The floor plan is set up on a resource and lets you see what is occupied, using colour codes that carry through to the exports. Worth knowing: you cannot create several different plans within the same Room resource, so it is better to declare one resource per space if your gym has more than one.

Yes, but let us be precise: there is no dedicated membership module in Tourbiz. A ten-session pass or a multi-entry deal is built through an advanced product configuration, of the same kind as component products. It works and it is used, it simply takes some setting up rather than ticking a box.

Can I sell gift vouchers for a climbing session?

Yes. Tourbiz generates gift vouchers from a ready-to-use template, and you can swap the background image for artwork in the gym’s colours using the file provided. The wording is editable and can be set per language, handy for gifting a taster session or a course.

Can I create promo codes to fill my quiet slots?

Yes, as many as you like, as a percentage or a fixed amount in €. You limit each code to certain products and certain dates, for instance Monday to Thursday before 5pm. These codes are currently multi-use; a single-use code is announced as in development.
